Real-time inventory and stock
Never run short or overstock at any location
Actual stock for each location in one dashboard. Counts from your phone, no paper.
When was the last time your stock actually matched?
Book stock and actual stock never match. Manual counts with pen and paper, deviations piling up between closing periods and headquarters that can't trust the data coming from locations.
Stock doesn't match reality
The system says you have 30 kg of chicken, but there are only 22 in the walk-in. The gap between book stock and actual stock grows undetected until the monthly close. By then, the money is already lost.
Manual counts with pen and paper
Every count means hours with a clipboard, later transcription to Excel and errors at every step. The team delays it, simplifies it or skips it entirely. Without reliable data, inventory is fiction.
Invisible expiry dates and FIFO rotation
You don't know which products expire this week or whether the team is using oldest stock first. Waste from expired items piles up, batches get mixed and tracing a batch during a food safety alert takes hours.
How Inventory Works
Actual stock for each location in a centralized dashboard. Counts from your phone, deviations detected daily and complete batch and expiry date traceability.
Stock Counts with Mobile App
The team opens the app, selects the storeroom zone and scans or registers quantities product by product. No paper, no Excel transcription, no copy errors. The count is instantly recorded in the central system.
- Zone-guided counting -- the app organizes products by storeroom location. The team follows the logical route without skipping or forgetting items
- Barcode scanning -- scan the product with the phone camera and enter the quantity. No manual lookups or confusion between similar items
- Instant results -- the count syncs immediately with the central dashboard. The operations manager sees data in real time without waiting for transcriptions
Theoretical vs Actual Stock Deviations
The system crosses theoretical stock (what you should have based on purchases, sales and recipe costing) with actual stock from the count. Differences appear in an automatic report: which product, how much is missing, at which location and since when.
- Daily detection -- you don't wait for the monthly close. If there's an 8 kg salmon deviation at one location, you know today and act today
- Report by location and product -- identify patterns: which locations deviate the most, which products disappear most often, in which periods
- Automatic alerts -- if the deviation exceeds a configurable threshold, the system notifies the manager without them having to look for the data manually
Digital FIFO and Expiry Dates
Every batch entering the storeroom is recorded with its expiry date. The system indicates which batches should be consumed first and alerts when an expiry date is approaching. No relying on someone checking labels manually.
- Expiry date visibility -- a dashboard with all products sorted by expiry date. You know what expires this week at each location without opening a walk-in
- Automatic FIFO rotation -- the system tells the team which batch to use first. Expiry waste is reduced and food safety regulations are met
- Upcoming expiry alerts -- configurable notifications by days in advance. If a dairy batch expires in 48 hours, the manager knows in time to react
Food Safety Alert Resolved in Minutes
If you receive a food safety alert for a supplier or batch, you need to know in minutes where that batch is, at which locations, in what quantity and whether it has already been consumed. With Controliza's digital traceability, a search that used to take hours is resolved with a single query.
- Instant batch tracing -- enter the batch number and get in seconds which locations have it, how much remains and whether it has been served
- Complete history -- who received the batch, when it entered, what has been consumed and what remains. The entire chain documented for audits or inspections
- Block and withdraw -- mark a batch as blocked and notify all affected locations to remove it from service immediately

Request a Free DemoInventory Within the Cycle
Inventory is not a standalone module. It feeds purchasing, traceability and cost control in a closed loop.
Actual stock feeds purchasing
Each location's actual stock is crossed with demand prediction and recipe costing to generate automatically suggested orders. You don't over-purchase because you know exactly what you have.
Traceability closes the loop
Every batch that enters is recorded from reception (delivery note OCR) to consumption. Expiry dates, FIFO and food safety alerts resolved with real data, not estimates.
Deviations improve control
Differences between theoretical and actual stock feed waste and food cost analysis by location. You detect where margin is lost and act before the monthly close.
Inventory Adapted to Each Sector
The same stock management system, adapted to the operational context of your sector.
Restaurants
Actual stock per location, fast counts and deviations detected daily. Control perishable ingredients without relying on the team's memory.
Hotels
Multi-point F&B inventory with batch traceability. Expiry dates and FIFO under control at every warehouse in the hotel group.
Food Service
Consolidated stock across central kitchens and service centers. Batch traceability for HACCP and food safety compliance.
